E-mail netiquette: hoe het goed te doen
In persoonlijke gesprekken komen misverstanden minder vaak voor dan in elektronische correspondentie. Met onze tips over e-mailnetiquette bereikt u respectvolle communicatie op internet.
E-mail netiquette: op deze manier maakt u een goede indruk wanneer u zich tot de persoon richt
Een te losse toon in de e-mail kan de ontvanger snel bereiken als respectloos of aanstootgevend.
- Met name in zakelijke correspondentie is hoffelijkheid de alles-in-één, geef de ontvanger een vriendelijk adres en sluit af met een mooie groet. Het is geen probleem als u een beetje afwijkt van de nu nogal stoffige normen "Beste ..." of "Vriendelijke groeten".
- Als je de persoon al kent, kies dan voor de meer persoonlijke aanhef "Hallo meneer / hallo mevrouw". Dit formulier moet u de eerste keer dat u contact met ons opneemt vermijden. Om de stijve "Beste" te voorkomen, schrijft u "Goede dag meneer / Goede dag mevrouw".
- "Hartelijke groeten", "Veel groeten" of "Beste groeten" zijn absoluut toegestaan als afsluitende groet.
- In het bedrijfsleven moet u vermijden wat geen probleem is in privé-e-mailverkeer. De afkortingen MfG (met vriendelijke groeten) of LG (groeten) geven de ontvanger aan dat u niet eens voldoende tijd neemt om de woorden op te schrijven. Het is het beste om een geschikte handtekening voor e-mails te maken. U kunt deze vervolgens automatisch aan elke e-mail toevoegen.
Zinvol onderwerp voor elektronische post
Een onderwerp moet de lezer onmiddellijk de inhoud laten weten. Dit is van toepassing op zakelijke en particuliere e-mailverzending. De onderwerpregel heeft verschillende belangrijke functies:
- Veel ontvangers scannen eerst de inbox om de belangrijke berichten uit de stroom e-mails te filteren. Mails zonder onderwerp zijn nauwelijks merkbaar in een volledige inbox en worden vaak genegeerd.
- Als er geen duidelijk onderwerp is, moet u meestal langer wachten op een antwoord. Bovendien wordt de indruk van spam gecreëerd en filteren veel e-mailprogramma's dergelijke berichten rechtstreeks in de map met spam.
- Een ander voordeel is dat opgeslagen berichten sneller kunnen worden gevonden als ze een onderwerp hebben.
E-mailetiquette: woorden in hoofdletters en kleine letters zijn taboe
Het is niet alleen om redenen van leesbaarheid dat u woorden niet volledig in hoofdletters of kleine letters moet schrijven.
- Schrijf woorden in hoofdletters, schreeuw letterlijk tegen de ontvanger. Dat ziet er grof uit. Dus doe het niet.
- Het tegenovergestelde is echter ook niet aan te raden: als u de hele e-mail in kleine letters schrijft, is deze minder leesvriendelijk.
- Het kan de ontvanger ook de indruk geven dat je eigenlijk geen tijd voor hem hebt. Dit vermindert de goede indruk bij uw e-mails.
Gebruik de CC-functie voorzichtig
De CC-functie is handig als u een e-mail naar meerdere mensen tegelijk wilt verzenden. Alle ontvangers kunnen de adressen zien die u in het CC-veld invoert. Dit geldt ook voor de selectie van "Allen beantwoorden".
- Zorg ervoor dat u dit veld alleen gebruikt als de mensen elkaar kennen. Dit geldt bijvoorbeeld voor e-mails aan collega's of, in de regel, aan vrienden.
- Als e-mailadressen zichtbaar zijn voor alle andere ontvangers, kunnen deze worden gebruikt om zakelijke of privécontacten af te leiden. Dit kan tot grote problemen leiden als het bijvoorbeeld leveranciers of klanten onthult.
- In plaats van CC kunt u beter de BCC-functie gebruiken. BCC staat voor blind copy. Dit houdt de ontvanger anoniem - alleen u, de afzender, kent de persoon.
Verdere gedragsregels voor e-mailcommunicatie
Er zijn nog een paar dingen die u kunt doen om u te helpen communiceren via e-mail.
- Houd uw e-mails zo kort mogelijk. Krijg snel en compact informatie ter zake.
- Let op spelling. Een tekst vol fouten maakt absoluut geen goede indruk.
- E-mails kunnen worden losgemaakt met emoticons ;-) of :-(. Gebruik ze alleen als je de ontvanger goed kent. Met vrienden is het geen probleem. Gebruik emoticons met zakelijke correspondentie. Je moet de zakenpartner heel voorzichtig gebruiken weet het zeker goed.
